Sion Clearwater Campus ("the School", "we", "us") respects the privacy of learners, parents, guardians, staff, and visitors to this website. This policy explains what personal information we collect, why we collect it, and how we look after it. It is written to align with the Protection of Personal Information Act, 2013 (POPIA).

1. Who is responsible for your information

Sion Clearwater Campus, Clearwater Estate, Atlas Road, Parkhaven, Boksburg, South Africa, is the responsible party (as defined in POPIA) for the personal information described in this policy. Questions about this policy, or about the information we hold, may be sent to accounts@sionprivateacademy.co.za or telephoned through to (010) 449 3075.

2. What we collect

Through this website we collect only the information you choose to give us in an enquiry or admissions form — typically a name, email address, telephone number, the grade you are enquiring about, and the content of your message. Our web host may also record standard technical information such as browser type and the date and time of a visit.

Separately from this website, and as part of enrolment and the running of the School, we collect the wider learner and family records required by the Department of Basic Education and by ordinary school administration.

3. Why we collect it

We use the information you submit to respond to your enquiry, to process an application for admission, to communicate with parents and guardians about school matters, and to meet our legal and regulatory obligations as a registered independent school. We do not sell personal information, and we do not use it for advertising.

4. Information about children

POPIA gives the personal information of a child special protection. Where information about a learner under 18 is processed, we do so with the consent of a parent or legal guardian, or where the law otherwise permits it. Photographs and video of learners are used in school communications and on social media only where a parent or guardian has given consent, and that consent may be withdrawn at any time in writing.

5. Who we share it with

We share personal information only where it is necessary: with service providers who help us operate the website and handle form submissions, with education authorities where we are required to report, and with professional advisers where the law obliges us. Service providers are permitted to use the information only for the purpose we engaged them for.

6. How long we keep it

Enquiry records are kept only for as long as needed to deal with the enquiry and any follow-up. Learner and enrolment records are retained for the periods required by South African education and tax legislation, after which they are securely destroyed or de-identified.

7. How we protect it

We take reasonable technical and organisational steps to guard personal information against loss, unauthorised access, and misuse. No website or system can be guaranteed completely secure, but we review our arrangements regularly and will notify you and the Information Regulator if a breach affecting your information occurs.

8. Your rights

You may ask us what personal information we hold about you or your child, ask us to correct or delete it, object to how we are using it, or withdraw a consent you previously gave. Write to accounts@sionprivateacademy.co.za and we will respond within a reasonable time. If you are not satisfied with our response, you may lodge a complaint with the Information Regulator of South Africa.

9. Cookies and third-party content

This site does not set advertising or tracking cookies of its own. It does load fonts, styling, and animation libraries from third-party content delivery networks, and those providers may log the request in their own server records.

10. Changes to this policy

We may update this policy from time to time. The current version will always be published on this page with the date it was last revised.
